How to Choose Inventory Software

Choose inventory software by matching it to how your store actually sells, not by buying the tool with the longest feature list. A one-warehouse Shopify store, a multichannel Amazon-Shopify brand, a wholesale business, and a light manufacturer need different systems.

The right question is not “What is the best inventory app?” It is “Where does our inventory process break today?”

Start With Your Current Complexity

Shopify says its built-in inventory tools can track stock, view levels, make adjustments, review inventory history, use reports, manage transfers, and create purchase orders. If you sell only through Shopify, use one or two locations, and do not need advanced forecasting, built-in tools may be enough.

You need outside inventory software when the problems get bigger: overselling across channels, manual purchase orders, stockouts, overstock, weak forecasting, barcode needs, batch or expiry tracking, multi-warehouse routing, wholesale, manufacturing, or accounting reconciliation.

Map Sales Channels And Locations

List every place you sell: Shopify, POS, Amazon, Walmart, eBay, Etsy, wholesale, B2B portals, TikTok Shop, retail stores, pop-ups, and marketplaces. Then list every place stock lives: warehouse, store, 3PL, dropshipper, supplier, production floor, and returns bin.

Shopify’s location documentation says a location can be any physical place or app where you sell, ship, fulfill, or stock inventory. If your business already has multiple locations, your inventory system needs to show what is on hand, committed, incoming, damaged, reserved, and available to sell.

Write down the sync promise you need too. A store doing ten orders a day can tolerate slower updates. A flash-sale brand selling across three channels cannot.

Decide Whether You Need Forecasting

Basic inventory software tells you what happened. Better inventory software helps decide what to buy next. Shopify notes that inventory management helps avoid selling products that have run out and helps you know when to order or produce more. Forecasting becomes critical when lead times are long, products are seasonal, cash is tight, or stockouts hurt customer trust.

Inventory Planner by Sage says its Shopify connector pulls product, sales, and inventory data to generate forecasts and replenishment recommendations. Cin7 says its inventory platform can predict demand and automate reordering. Those claims should be tested with your data during the demo.

Check Purchase Orders And Supplier Workflows

If purchase orders still live in spreadsheets, make this a demo requirement. Ask whether the software supports supplier SKUs, minimum order quantities, lead times, landed cost, partial receiving, backorders, transfers, cost updates, and purchase-order approvals.

Do not skip the boring accounting questions. Cin7’s pricing page lists QuickBooks Online and Xero integrations, while Zoho Inventory lists order, user, and location limits by plan. A cheaper app can become expensive if month-end still requires manual reconciliation.

Compare Pricing Against The Bottleneck

Zoho Inventory’s public pricing starts with a free plan for 50 orders/month, then Standard at $29/month billed annually for 500 orders/month, 3 users, and 2 locations. Cin7’s public pricing starts much higher, at $349/month for Standard, with 5 users, 2 ecommerce and app integrations, 6,000 sale orders/year, and unlimited inventory locations. Fishbowl lists Essentials at $229/month billed annually for simpler operations and Growth at $429/month billed annually for multichannel selling.

The point is not that one price is “right.” The point is that the software category spans from small-store tracking to operational backbone. Compare price to the cost of overselling, emergency air freight, dead stock, slow receiving, and messy books.

Run A Demo With Real Scenarios

Bring five real workflows to every demo: receive a purchase order, split stock across locations, oversell prevention across two channels, reorder a seasonal product, and handle a return back into sellable or damaged stock. Ask the vendor to show each workflow, not describe it.

Also ask what breaks: API limits, sync delays, variant limits, marketplace edge cases, bundle handling, 3PL errors, barcode hardware, permissions, data export, and support response times.

Give each demo a scorecard. Ease of daily use matters as much as feature depth, because the system fails if the warehouse or buying team avoids it.

Pick The Smallest System That Removes The Pain

Small stores should not buy an ERP because they are embarrassed by spreadsheets. Big stores should not stay on spreadsheet workarounds because the team is used to them. Pick the smallest system that fixes the bottleneck for the next 12 to 24 months.
